Personal Family Assistant

Family of five seeks a nurturing, energetic, detail-oriented, organized assistant to work from their private home in the Burlington, Vermont area (some work can also be done from home, as well as from the CEO’s office, as needed). This position is full-time, live-out. The ideal candidate must be okay with extreme flexibility, willingness to work long hours as needed, and be available on some nights and weekends. This position will include a mix of administrative duties for the family, assistance with managing the family’s private residences and home life, and some childcare.

The ideal candidate will be a pro-active self-starter with excellent communication skills who is comfortable working in a more informal environment, while still maintaining a level of utmost professionalism.

Responsibilities include, but are not limited to:

  • Schedule and maintain family calendar and contacts (including emergency contacts, family and friends, vendors and subcontractors)
  • Organize, plan, and book all personal & family travel (including research)
  • Planning, preparing, and managing all personal meetings/events (weddings, birthday parties, dinners, etc.)
  • Schedule doctor’s appointments, massages, and all health/wellness activities (including race and fitness event planning and prep)
  • Organize, order, and mail family holiday cards and/or invitations
  • Schedule and coordinate family activities (such as dinner reservations, fishing charters, family fun runs, etc.)
  • Manage outside vendors (landscaper, house cleaner, pool care, etc.) at all personal properties
  • Shop for groceries or other household items when asked
  • Meal prep and pack lunches
  • Maintain inventory of groceries and household supplies (shopping for items when needed)
  • Monitor and report necessary domestic repairs and replacements and coordinate with vendors and subcontractors as needed
  • Help with organizing moves
  • Purchase supplies for home and personal needs (fitness equipment, home items, etc.)
  • Purchase/pick up clothes
  • Manage auto repairs and car maintenance
  • Buy gifts and manage returns
  • Run errands
  • Arrange child care as needed
  • Demonstrate and give unconditional love and support to children always
  • Transport children to school and other activities as needed
  • Occasional supervision of children as needed
  • Light cleaning and organizing the home


  • Strong command of English language; excellent communication skills, both written and verbal
  • Excellent references required from both current and previous employers
  • Minimum of 2 years working in a private home in a similar role
  • Knowledge of general First Aid and CPR certification
  • Physically agile, fun, energetic and lively; able to keep up with active children
  • Computer and technology savvy with proficiency in both Mac and PC systems and able to manage and troubleshoot various home systems
  • Must have exceptional organizational skills and dedication to responsibilities with prioritization and efficiency
  • Polished, poised, and professional; use of utmost discretion and confidentiality at all times
  • Ability to work both independently and as part of a team
  • Light cooking skills a plus; ability to prep healthy meals and snacks for family
  • Valid Driver’s License a must; confident driver with zero points; prior experience driving children
  • Valid Passport; light travel with the family both domestic and international as needed
